Refund Policy
Refund eligibility, cancellation terms, and processing procedures for System Birch Way documentation services.

Overview
System Birch Way provides professional documentation services delivered over multiple sessions. This policy explains when refunds apply and how to request them.
Deposit Refunds
A ₩200,000 deposit secures your intake appointment.
- Full deposit refund: Cancelled at least 5 business days before your scheduled intake session.
- Partial deposit refund (50%): Cancelled 2–4 business days before intake.
- No deposit refund: Cancelled fewer than 2 business days before intake, or no-show without prior notice.
Service Fee Refunds
Before Session 1: Full refund of any fees paid beyond the deposit, minus the applicable deposit terms above.
After Session 1, before delivery: Partial refund of 40% of the service fee. Work completed during intake and preliminary drafting is non-refundable.
After record delivery: No refund. Delivered records are final upon client acceptance at the review session.
Seed Phrase Documentation Review
Single-session reviews are non-refundable once the session has begun. Cancellations with 48+ hours notice receive a full refund.
Heir Handoff Briefing
Full refund if cancelled 3+ business days before the session. No refund for no-shows.
Rescheduling
One free reschedule per engagement if requested 3+ business days in advance. Additional reschedules incur a ₩50,000 administrative fee.
Non-Refundable Items
- Travel time already incurred for out-of-area appointments
- Rush delivery surcharges after work has commenced
- Third-party costs (printing, courier, USB drives you request we purchase on your behalf)
Refund Process
Email contact@systembirchway.click with your name, engagement date, and reason for the refund request. We respond within 5 business days. Approved refunds are processed via the original payment method within 14 business days.
Disputes
If you believe a refund was incorrectly denied, contact us at +82 2 0000 9850. Unresolved disputes are subject to the governing law provisions in our Terms of Service.
Cancellations by System Birch Way
If we cancel your appointment due to staff illness or office closure, you receive a full refund or priority rescheduling at your choice.
